Booster Meetings

Booster Meetings are held on the first Thursday of each month at 7:00 PM in the band room.  All students, parents and other interested parties are invited and encouraged to attend.  The boosters work hard to support all our band students, we hope that you will get involved and share some great memories with your child.  Please fill out the information sheet, so we can put you on our email distribution list.

Fundraisers

·         Harris Teeter – tie your VIC card to East Gaston Band - #4974  Information was sent home with band students.

·         East Gaston lanyards were ordered.  Sell price $3 agreed upon.

·         McDonalds/Mt. Holly Fund Raiser – will schedule for end of September

·         Hardees/Stanley Fund Raiser – will schedule for November

·         Cruise Raffle – possible fund raiser – discussed checking with new principal on selling raffle tickets at football games

Other

Shirts - Final decisions on Heartbeat tshirt design were made.  East Gaston logo with arrowhead and “2011” will be on front of tshirt.  The back of tshirt will be the heart design along with names of show songs.  Shirt cost has not been determined yet.  Shirts will be available to order for parents.

Props – we will use the 5 panels again this year with heart on middle panel  and hearbeat lines on other panels.  Keith McKinney is in charge of props.

Help needed - If you are good at woodworking, please let Mr. Dunlevy know.  He needs someone to build a “marching machine”.

Middle school recruitment –

·         Need to schedule a  “Middle School” night where middle school students will participate in the band during a football Friday night.  Students and the 2 middle school directors will be admitted free.  Possible date - October 7^th.

·         8^th and 9^th graders who are possible marching band recruits will be asked to participate in helping the marching band this year.  (Props, Loading, etc.)

·         If anyone has any ideas on how to recruit middle school students for next year, please email Mr. Dunlevy.

Instrument Purchase/Refurbishing -  Mr. Dunlevy is checking into pricing, but the following are instruments he wants to buy or repair.  Once final pricing is determined, the board will make decision on which option would be best with the funds we have available.

Options:

·         Vibrophone – approx $4,500

·         Sousaphones – the ones we use now are borrowed and are 50 years old.  We need two @ approx $4,900 - $5,300 each

·         New frame for chimes – approx $1,200 - $1,500

Note:  Mr. Dunlevy to check into if the Music Center will allow trade-ins of donated instruments to go towards options above.

 Band Board slots available - Still need a 9^th and 10^th grade rep on Band Booster Board.  If you are interested, please let Kathy know. (Kathy.Edmondson@affinagroup.com)

 Band Camp – Mr. Dunlevy commented on how well band camp is going this year, and how student leadership has stepped up.  He believes this is going to be a great year.

August 12 – Pool Party at Mt Holly pool  7 – 10pm;  Pizza will be served.  Boys bring drinks.  Girls bring snacks.

Band Banquet – If you would like to help with the band banquet preparations, be at East Gaston Friday May 13^th around 3:15. 

Band Concert - Cookies and Drinks are needed.   If you want to volunteer to help setup for reception, please be at school by 6:30.  Band Students are to report to school at 6pm.

Mr. Dunlevy will get back to the band boosters on instrument refurbishing.

Pictures were made of all band students.  Proofs were sent home.  Orders need to be back to school by Thursday, May 12^th.  Patti will send reminder email to parents.

Kathy is to provide list to Mr. Dunlevy of “No contact Information” for parents of students regarding band fee collection.

Mr. Dunlevy is to provide labels for all 2011-2012 band students to Kathy, in order for Kathy and Patti to send out band packets for next year.

Important Dates

May 13th - Band Banquet – voted on Hillbilly’s for banquet.  Banquet will be at East Gaston.

Band Booster Information

Who are the Band Boosters?

We are a group of parents, individuals, organizations, industries, etc. who are interested in the promotion of the East Gaston High School band.  We assist the band director by providing transportation to and from events, funds for instruments, uniforms, chaperones and other needs as requested. 

 Booster Meetings

We meet on the first Thursday of every month in the band room at East Gaston.  All parents are always encouraged to attend.

 Why so Many Fund Raisers?

Currently, the band uniforms are 10 years old and most of the large school owned instruments are quite old and dented.  We receive very little support from the school or school board so in order to provide these items for the band, we must raise the funds elsewhere.  The uniforms alone will cost us approximately $40,000!

How Can I Help?

There are many, many ways for folks to be involved with the boosters.  The boosters feed the students at nearly all performances and band events, so food donations are always welcome.  Financial gifts are tax deductible and greatly needed.  Chaperones, bus drivers, equipment haulers, fund raisers and uniform menders are just a few of the other jobs available.

Band Bucks Program Guidelines

The Band Bucks program is designed to give students the opportunity to earn money that can be applied toward their band fees, uniform supplies, trips and other items offered for sale by the Band Boosters.

Panther Events: Due to the various types of events and the known fact that some events will generate more revenue than others, workers at the Bojangles/Panther Events you can earn $3 per hour worked. 

For group participation events, each person participating counts as ‘1’ so students with multiple family members participating will receive more than those with only one participant. In cases where partial time is worked, it shall be at the discretion of the fundraiser chairman to determine the amount to be credited in proportion to the amount of time worked.

Band Bucks will be totally maintained by the Band Boosters. No actual money will ever be given directly to the student. Students may request money to be allocated for certain items using the attached request form.

Sectional type fundraisers are not eligible to earn Band Bucks. These types of fundraisers will be used entirely to fund special sectional expenses such as guard equipment, drum line equipment, special sectional trips, etc.

Since band fees must be paid before band camp, rising band members will be given the opportunity to participate in fundraisers before they actually join the marching band. Returning band members will have the opportunity to carry Band Bucks from year to year in order to pay for the upcoming year’s band fees or other expenses. If there is no Band Bucks balance for the student, the band fee must be paid out of pocket with no refunds, even if excess Band Bucks are earned.

Students receiving scholarships for band fees are expected to participate in fundraisers to help maintain the scholarship program for future students.

Active students may use their Band Bucks to help another student pay for band expenses, but only after written parental permission is given by the donor student’s parents.

All money remaining in a Bank Bucks account shall be forfeited should a student quit the band. All forfeited Band Bucks become the property of the Boosters and will be transferred into the general budget.

Graduating students have the option to (1) purchase Booster sales items, (2) transfer their balance to the scholarship fund and/or (3) transfer their balance to the general budget to be allocated as deemed appropriate by the Booster Board members.

Band Bucks should be maintained in a separate savings or checking account in order to aid in accurate accounting of Band Buck balances.

It shall be the duty of the Band Boosters Treasurer and the Band Buck Coordinator to maintain the Band Buck balance for all students.

Amounts to be credited per student per fund raiser should be tracked by the particular fund raiser chairman with totals given to the Treasurer at the conclusion of the fund raiser or at predetermined intervals for on-going fund raisers.

At least once per quarter, the Treasurer and Coordinator should give students a report of their Band Buck balance. This could be accomplished either by individual report to each student or posted somewhere in the band room.

Students may also deposit their own money into their Band Bucks account to aid in long-term savings for band expenses.

General donations received directly by the band are not eligible to be credited to any Band Bucks account.

This program will be reviewed yearly for approval and continuance.
